JOB SUMMARY:

Provides executive level administrative support and directs the day-to-day administrative activities for the AVP/Sr. Associate Dean of Students, and other designated staff within the Dean of Student (DoS) office, and serves to support other executive level AVPs as part of the executive services model. Serves as lead office professional in the DoS Office providing communications, administrative support, and project coordination. Performs other duties as assigned.

JOB DUTIES:

30% - Essential - Executive Administrative Support: Serves as the administrative support professional for the AVP/Sr. Assoc Dean of Students, and designated staff within the Dean of Students Office, and serves to support other executive levels as part of the shared services model.
Performs support and routine office functions to include the following key responsibilities: scheduling, travel logistics, preparation of itineraries and needed materials for conferences/meetings, recording of meeting minutes and tracking of follow up actions, management of office correspondence and projects (researching responses). Ensure effective office systems are in place including service oriented visitor greetings, record keeping, and telephone and email protocols. Manages the procurement of office supplies and equipment and compliance with all applicable University policies and procedures. Acts as primary p-card holder, D.A.T. & HR liaison for the DoS office.

30% - Essential - Communication: Performs duties in a professional manner requiring high levels of integrity, trust and confidentiality. Manages all internal and external office communications with appropriate stakeholders in a professional and service oriented manner. Coordinates and communicates solutions to student-related issues brought to the DoS office by students, families, faculty and staff and following-up as directed. Serves as a primary administrative contact for the DoS office to internal departments as directed. Assists in the development and maintenance of the DoS office web page.

20% - Essential - Facilitation and Coordination: Schedules, plans, and attends meetings for the purpose of managing administrative tasks and critical record keeping as requested by the AVP/Sr. Assoc Dean of Students and others as listed above. Maintains up-to-date membership/roster lists as needed. Supports the Death of Student or Employee Team (DSET) in crisis and emergencies as needed. Coordinates training workshops, scheduling of meetings, documentation, correspondence, and action follow-through on items such as, but not limited to, refund checks, certificates of attendance or posthumous degrees. Provides support to the DoS office and others listed above in various processes and projects as appropriate and directed.

15% - Essential - Administrative Support: Provide administrative support to the Campus Reservations and Events leadership as needed.

5% - Essential - Committees and Collaboration: Serves on division and/or University-wide committees and work teams to support internal and external collaborative efforts as directed by the AVP/Sr. Assoc Dean of Students and others as listed above.

MINIMUM REQUIREMENTS:

Education: High School or Equivalent and relevant experience in business management, public administration or administrative services. A Bachelor's degree may be substituted for required work experience

Education: Bachelor's Degree in Business Management, Public Administration or Administrative Services

PHYSICAL REQUIREMENTS:

Education: Bachelor's Degree in Business Management, Public Administration or Administrative Services

Other - limited night and weekend work may be required.
