To assist in actualizing our mission, we seek candidates for the position of College Payroll Specialist Senior. The position’s job responsibilities are as follows:

Faculty and Staff Payroll Management: Management of the College Payroll processes on payroll actions for all faculty positions (regular, visiting, temporary, part-time, volunteer), visiting scholars, external learners, and all college staff. This includes but is not limited to providing direction, guidance, and problem resolution relating to college payroll issues, as well as providing advice and leadership on appropriate payment types. Assist college HR Manager with maintenance of job postings as needed. Serve as a liaison with department managers, department chairs, faculty, and Business Office staff to ensure payroll requests are processed in a timely manner.

Work with central and internal offices (such as HR and the Business Office) to ensure all necessary payment paperwork is processed efficiently and accurately. Ensure payments to faculty and staff are made accurately within the guidelines of the University, federal and state policies and procedures. Process all overloads for the college. Develop reports in internal college tracking software and SAP to review payroll information before each cycle finalizes to ensure faculty and staff will be paid on time and accurately. Proactively prevent issues whenever possible and use effective problem resolution skills to resolve issues and identify ways to prevent them in the future. Serve as back-up to other college payroll staff as needed.

Faculty Database Management: Serve as the college faculty database ( FDB) administrator. This includes, but is not limited to, processing all faculty appointments and reappointments, promotions, retirements, resignations, phased retirements, leaves, professorships, and administrative appointments. Work closely with the college Associate Dean for Faculty and the Office of Faculty Advancement. Assist with faculty dossiers for the promotion and tenure process. Prepare letters on behalf of the Associate Dean for Faculty. Prepare reports from the FDB to assist the Associate Dean for Faculty with various faculty processes. In coordination with the Associate Dean for Faculty and the college HR Manager, assist with facilitation of the faculty distribution of effort (DOEs) utilizing the Effort Planning System ( EPS). Assist the college HR Manager with part-time and full-time instructor offer letters each semester.

Professional Standards and Customer Service: Consistently live out the commitment to the college’s tenets of excellence. Create, develop, and implement initiatives to improve service to all constituencies. Model and promote excellent customer service for internal and external colleagues and students. Responsible for expanding professional knowledge through training, classes and seminars of UK policy, procedures and systems to better serve students, staff, faculty, external units, and UK.

Compliance: Interpret and enforce university policies and procedures, rules and regulations, and consistency with best practices.
