Job Details:

The Mercer University School of Medicine is searching for a Senior Accreditation and Faculty Support Specialist on the Macon campus.


Responsibilities:

This position reports to the Senior Associate Dean for Faculty Affairs and the Senior Associate Dean for Strategic Planning, Accreditation, and Evaluation.

For the office of Faculty Affairs, this position coordinates faculty affairs activities, including but not limited to:

  • Collecting and recording faculty roster data for AAMC reporting,

  • Updating and formatting the MUSM Faculty Handbook as needed,

  • Monitoring faculty appointment and reappointment processes,

  • Maintaining accurate rosters of clinical chairs, vice-chairs, and program directors,

  • Creating faculty appointment correspondence letters contributing to organization and reporting of faculty development offerings,

  • Overseeing the MUSM continuing medical education (CME) offerings, proctoring student exams when needed to support the Office of Academic Affairs, supporting School of Medicine special events,

  • Maintaining faculty listservs and providing organizational support to the MUSM Promotion and Tenure Committee,

  • Working with marketing to update the MUSM faculty directory, collecting new faculty transcripts and CVs,

  • Providing support to the Dean's office as needed,

  • Creating faculty reports in One45 to assist the Office of Academic Affairs, active participation in the MUSM Staff Council, and working with the Assistant and Associate Deans for Faculty Affairs and Faculty Development on the Savannah and Columbus campuses.

?For the Office of Strategic Planning, Accreditation, and Evaluation (OSPAE), this position supports accreditation and continuous quality improvement activities, including but not limited to:

  • Scheduling meetings coordinated by OSPAE,

  • Preparing and proofreading Liaison Committee on Medical Education (LCME) and Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) accreditation reports and self-study documents,

  • Working with marketing to update MUSM website information related to LCME accreditation,

  • Collecting and compiling evidence room materials for LCME site visits, coordinating LCME self-study subcommittee, steering committee and site visit meeting schedules and technology,

  • Assuring the organized archival of MUSM policies and procedures related to accreditation,

  • Generating reports from the One45 evaluation system that support quality improvement and accreditation activities.

The duties and allocated effort of this position may shift based on the needs of the school.

Qualifications:

A bachelor's degree from an accredited college/university and one year of professional administrative support experience working with Microsoft Excel databases and spreadsheets, is required. The ability to handle sensitive and confidential information is required. In lieu of a bachelor's degree, an equivalent combination of education and related work experience will be considered.

Knowledge/Skills/Abilities:

  • Computer keyboard typing proficiency of at least 50 words per minute.

  • Intermediate proficiency using Word to prepare various reports, correspondence, and documents and to make edits to the MUSM Faculty Handbook.

  • Intermediate proficiency using Excel to maintain databases and create reports related to accreditation activities and faculty database to generate faculty reports.

  • Intermediate proficiency using PowerPoint to prepare presentations for meetings. Intermediate proficiency using Zoom and other videoconferencing software.

  • Intermediate proficiency using Adobe Acrobat Professional to add, edit and convert various documents.

  • Intermediate proficiency using One45 to generate reports.

  • Intermediate proficiency using CollegeNet to maintain the faculty database, generate reports, and send faculty correspondence.

  • Intermediate proficiency of Watermark to generate reports.

  • Intermediate proficiency of Microsoft OneDrive to upload, maintain, and organize documents. Proficiency in speaking and writing skills consistent with professional communication.
