Job Description

Lynker is seeking a sharp Executive Assistant to support our National Oceanic and Atmospheric Administration (NOAA) client in Silver Spring, MD. The position will help manage the administrative functions of operating an efficient and effective office including managing calendars, preparing meeting materials, and assisting with controlled correspondence for NOAA’s Office of Coast Survey (OCS).

NOAA’s Office of Coast Survey (OCS) is responsible for conducting hydrographic surveys and producing charts of the nation’s waterways to meet the navigation information needs of vessel operators that are carrying ever-larger payloads of people, cargo and hazardous materials.

Duties of the Executive Assistant will include the Following:

  • Provide Administrative Support to the OCS Director and Deputy Director, conducting research, compiling presentation materials, and collaborating with multiple departments in improving overall quality and efficiency.
  • Manage the Director’s calendar, scheduling and adjusting meetings, looking ahead and preparing for all advance logistical and administrative support requirements.
  • Serve as Webinar Moderator for OCS related webinars, running test sessions for users, managing webinar controls for attendees, managing screen sharing and microphones controls, facilitating presentation viewing for speakers, handling the chat and question functions during the live events, and producing webinar reports.
  • Provide support for the Executive Leadership Board semi-monthly meetings and material prep. Prepare for Quarterly Management Reviews of the Annual Implementation Roadmap.
  • Ensure that the Director has all materials required in advance of meetings for review.
  • Draft priority correspondence and other documents for the Director and coordinate finalization of it with staff administrative assistant.
  • Provide executive secretariat support for the Foundation Four Monthly Meeting and the Trident Quarterly Meeting.
  • Serve as the back-up Control Correspondence and Federal Register Notice (FRN) POC responsible for coordinating with the appropriate divisional POC in order to ensure that all requests are addressed and submitted through the proper chain by the deadline. As the back-up, the incumbent will need to actively work control correspondence and FRNs on a regular basis.

The Ideal Executive Assistant will have the following Qualifications:
  • Excellent writing, communication, and organizational skills.
  • Experience and comfort with working in a fast-paced environment that often requires short turnaround times.
  • Ability to manage multiple assignments and conflicting priorities while maintaining good customer service and meeting various deadlines.
  • Ability to provide sound advice, guidance, and recommendations to management
  • Team oriented and strong customer-service skills.
  • Comfortable learning new processes quickly and thoroughly as well as new software programs.
  • Understanding of the FOIA process and experience managing FOIA actions.
  • Knowledge of Federal Travel Regulations and E2 Solutions is a plus.
  • Comfortable learning new software programs.
  • Familiarity with NOAA policies, procedures and systems for time and attendance, travel management, financial tracking, etc. is highly desirable.
