The Nevada County Clerk-Recorder/Elections departments are hiring a full-time Administrative Assistant II to help support their team!

Come join an extraordinary group of people in Clerk-Recorder and Elections! In this role you will perform high level leadership tasks, while assisting in the planning, organizing and supervising of all administrative support functions.

The Administrative Assistant II position is the fully qualified journey level class in the series, proficient in performing the full range of duties and responsibilities necessary to support management efficiently and professionally. The level II is distinguished from the level I by the increased level of project participation, and by the use of discretion in developing work methods, policies and procedures.

Main Duties:
  • Provides administrative and customer service support. Plans, prioritizes and coordinates departmental services activities such as purchasing, payroll, and statistical recordkeeping for both Elections and Clerk-Recorder.
  • Maintains the retention of routine and sophisticated confidential administrative, accounting, personnel, payroll and/or fiscal records; will review, control and account for expenditures and receipts.
  • Assists in planning, organizing, and maintaining both departments budget activities and helps participate in various stages of the budget preparation process.
  • Researches and processes various departmental documents, records and forms requiring contract interpretation and administration.
  • Interprets policies, procedures, regulations, systems and precedents relating to responsibilities assigned.
  • Gathers, tabulates, and analyzes various administrative data and prepares reports.
  • Reviews, researches and responds to correspondences and inquiries from employees and the public to provide information to resolve complaints.
  • Performs detailed and comprehensive personnel pre-employment background investigations, as well as assists staff with human resources-related services.
  • Conducts research and analysis for special projects as assigned.
  • Work's closely with Election's staff during election time, as well as coordinates, trains and assists Temporary employees.
  • May assist in planning, developing and implementing administrative improvements (i.e. departmental systems and procedures).
  • Maintains liaison with other County departments and State agencies.
Knowledge of:
  • Implementation and maintenance of department specific computer applications; uses computer applications in performance of duties.
  • Data collection, analysis and manipulation techniques.
  • Application of principles of business and personnel administration, including practices of basic supervision.
