The Inventory Specialist is responsible for logging, distributing and managing all types of work received within the Provider Operations Department. With an additional focus on timely completion of all requests in accordance with documented policies, procedures, and completed within compliance timeframes.

Duties and Responsibilities:
  • Review all inventory requests to identify any missing information and/or documentation needed to complete the request.
  • Manage inventory workflow in MACESS.
  • Reviews, logs, and assigns Service Forms received.
  • Manage daily, weekly, monthly and quarterly reports for inventory activity and variances.
  • Review reports for discrepancies and accuracy of information.
  • Assign work daily to Provider Operations Department.
  • Responsible for maintaining turnaround time based on Service Level Agreements (SLA) and urgency.
  • Prioritizing and setting custom due dates based on SLA's for staff and third party vendor.
  • Responsible for following up with agents via email regarding inventory.
  • Review and reconcile files to guarantee accuracy within the SharePoint Inventory.
  • Notify management of large projects and work load increase that could impact SLA's.
  • Develop and implement inventory procedures and best practices.
  • Responsible for managing several Microsoft email inboxes.
  • Provide daily status updates for inventory received from other departments.
  • Lead inventory strategy meetings internals and with other departments.
  • Reconcile agent's production sheets to the inventory to ensure accurate reporting.
  • Raise concerns to Team Leads regarding productivity deficiencies.
  • Additional duties and responsibilities as assigned.

Minimum Qualifications:
  • High School Diploma or GED equivalent from an accredited school.
  • Ability to speak clearly and articulate thoughts in a concise and effective manner written as well as verbal.
  • Experience interacting as a liaison with all organizational departments.
  • Working experience meeting deadlines and adapting to frequent changes under time sensitive constraints.
  • Experience working independently with minimal supervision.
  • Experience working with MS Excel, including sorting, filtering, and data entry.

Preferred Qualifications:
  • AA Degree or higher from an accredited institution.
  • Working experience as a Provider Operations Representative at Healthfirst with a minimum quality average of 95% or better during past 6 months.
  • Leadership skills
  • Intermediate working experience with MACESS, SharePoint and MS Outlook, and Excel using Pivot tables, and writing formulas.
  • Detail oriented and able to multitask while maintaining assignments in an organized manner.
  • Reliable and Dependable with minimal use of unscheduled time-off.
